Slack-Based Incident & Whistleblowing Automation System

Project Overview

GETMED needed a structured system to manage incident reporting and whistleblowing cases across teams while ensuring compliance, traceability, and fast response.

I designed a Slack-first automation system that connects reporting, investigation, and tracking into a single workflow.

The system enables real-time reporting, structured investigation workflows, and centralized compliance tracking — all without manual coordination.

The Problem

GETMED are facing some challenges in the following aspects;

  • Reporting was inconsistent and manual
  • No centralized tracking system
  • Investigations were not structured
  • Limited visibility across teams

The Solution

A fully integrated system combining:

  • Slack (interaction layer)
  • Typeform (structured data capture)
  • Make (automation engine)
  • Google Sheets (central register)

System Architecture

This project architecture is as follows;

1

Reporting Layer

  • Typeform used for structured incident & whistleblowing submissions
  • Supports anonymous and identified reporting

2

Automation Layer

  • Make handles:
    • Data processing
    • Reference ID generation
    • Routing logic
    • Status updates

3

Communication Layer

  • Slack used for:
    • Real-time alerts
    • Investigation threads
    • Status tracking
    • Team collaboration

4

Data Layer

  • Google Sheets used as:
    • Incident register
    • Whistleblowing log
    • Investigation tracker

Key Features

  • Automated reference ID generation (INC / WB)
  • Slack-triggered investigation workflows
  • Modal-based data capture inside Slack
  • Thread-based investigation tracking
  • Status buttons (Acknowledge, Investigating, Resolved)
  • Real-time updates synced to database
  • Optional & progressive data capture (not all fields required upfront)

Workflow Snapshot

  1. Report submitted via Typeform
  2. Data stored in Google Sheets
  3. Slack alert created automatically
  4. Investigation thread opened
  5. Team updates via buttons & modal forms
  6. Status and records updated in real-time

Results / Impact

  • Structured reporting system implemented
  • Faster response and investigation time
  • Improved internal accountability
  • Scalable compliance workflow
  • Reduced manual coordination

Client Review

As a busy entrepreneur, I can definitively say that working with Arhamany was a delight and one of the BEST Fiverr experiences I’ve had. He was responsive, solution-oriented, worked with my timelines, consistently went over and beyond, and his level of expertise really blew my mind. I look forward to working with him on more projects!

Conclusion

This project demonstrates how automation tools and API integrations can be used to build powerful internal systems without traditional software development.

By combining Slack, Make.com, and structured data storage, the organization now has a reliable and scalable workflow for managing incident reports and whistleblowing investigations.

The solution improved transparency, reduced manual work, and created a structured process for handling sensitive reports.
